Assign Roles to Participants

Written by Skyler Lambert

When a participant joins the deposition, the participant count in the upper-right corner increases by one. Click the participant icon to open the list of people waiting to be admitted.

For each waiting participant, choose a role from the Select Role dropdown, then click Admit to let them in.

Choosing a role from the Select Role dropdown before admitting a participant

The role options are:

  • Witness

  • Opposing Counsel

  • Court Reporter

  • Observer

The Witness role is unique: as lead counsel you can control the witness's screen and the witness can annotate document exhibits. Assign this role only to the person you are deposing — there can be only one witness at a time.

Participants with an Opposing Counsel, Court Reporter, or Observer role can sync their screen with the witness.

Participants with an Opposing Counsel role can also have control passed to them by the taking attorney. Depending on your account settings, the Opposing Counsel role can download unmarked versions of a document exhibit as a PDF during a deposition. Learn how to edit those settings on your account.

If the Opposing Counsel has their own AgileLaw account and signs in under it, they are locked to the Opposing Counsel role when they join and you cannot change it.

There is also a Co-Counsel role. Co-Counsel is a special role that is detected automatically when a user with the proper permissions on your case joins — it does not appear in the role dropdown. You still admit Co-Counsel to the deposition, but you cannot change their role. Learn more about admitting someone as Co-Counsel.

Until you reveal your first document, admitted participants see only a blank screen. Once everyone has joined and been assigned a role, you can begin revealing documents.
